Important Information About Your Move-Out at University Trails

Thank you for being part of the University Trails Community! As your move-out date approaches, we want to ensure that your transition goes smoothly and that you’re prepared for all necessary steps. Please review the following important information regarding our move-out process: If you would like to stay for another year, please reach out to us immediately so we can send you your renewal lease.

Move-Out Procedures

Inspection Process:

Move-out inspections are conducted once all keys and items are returned to the leasing office. There is no appointment required—our team will complete the inspection automatically after you move out. It’s important that you ensure the apartment is fully cleaned and all personal items are removed before turning in your keys.

Key Return:

All keys, parking passes, fobs, and any other access devices must be returned no later than 11:59 PM on Thursday, July 24th. If you forget to return these on time, you will be charged for replacements, and any failure to vacate the unit will result in holdover charges and could lead to legal action.

Common Areas Responsibility:

Even if only one resident is moving out, the entire apartment must be cleaned, including the common areas. This includes the kitchen, living room, and any shared spaces. Any cleaning or damage related to the common areas will be divided equally among the residents of the apartment.

Cleaning Requirements:

We’ve attached a Cleaning Checklist for your reference. This outlines specific cleaning tasks to complete in all areas of your current apartment. Please make sure the apartment is cleaned properly, and personal belongings are removed. Failure to meet these standards will result in additional cleaning charges.

Move-Out Charges

Estimated Charges:

Please review the Estimated Charge List, an Estimated Charge List can be found as a part of the Cleaning Checklist below.

Example:

If there is damage to walls, floors, or appliances, or if any personal items or trash are left behind, you may be charged accordingly. Be mindful of the need to return all items (including fobs, keys, parking passes, etc.) in order to avoid replacement fees.

Charges for Damages to Common Areas:

If there is any damage to shared spaces (kitchen, living room, hallway, etc.), those charges will be split between all apartment residents. Please be aware that animal-related damages (e.g., pet stains, scratches) will be billed to the pet owner if registered with the office. If the pet was not registered, these charges will be split among all residents.

Outstanding Balance:

If you have any outstanding balances on your account (such as past rent, utilities, or damage fees), they must be settled before you move out. Please ensure all fees are paid in full to avoid delays in processing your final statement.

Forwarding Address & Final Statement

Forwarding Address:

Move-out inspections are conducted once all keys and items are returned to the leasing office. There is no appointment required—our team will complete the inspection automatically after you move out. It’s important that you ensure the apartment is fully cleaned and all personal items are removed before turning in your keys.

Change of Address:

You can also complete a Change of Address through the Post Office or online at www.usps.com/manage/forward. This may cost $1, but any mail will be forward to the new address.

Additional Notes:

No Late Move-Outs:

We will accept keys on move-out day (July 24th) at 9:00 AM. Any items not returned by 11:59 PM on Thursday, July 24th will result in holdover charges and potential legal action.

Trash Disposal:

Please ensure all trash and personal items are removed from the apartment and properly disposed of. Use the designated trash bins around the property for bagged trash. Items left behind will result in a trash-out fee of $25 per bag of trash, $50 per item and $75 per piece of furniture that is not part of your furniture package.

Animal Registration:

If you had a pet in the apartment, ensure it was registered. Any damages caused by the pet will be billed to the pet owner, or if unregistered, damages along with illegal pet fees will be divided among all the residents.
